Sales and Administration Assistant
Reports to: Flex Assure Scheme Administrator
Introduction
Flex Assure is a not-for-profit company wholly owned by the Association for Decentralised Energy (ADE), based in Westminster. Flex Assure was established with the wide support of industry, Government, and stakeholders to help raise trust in the energy flexibility services sector and ensure good customer experience. The existing Flex Assure code of conduct is focused on business-to-business relationships in the industrial and commercial sector. However, due to the emergence of new domestic flexibility services, Flex Assure was awarded funding for the HOMEFlex project, to develop a new, industry code of conduct for the developing domestic market of energy flexibility.
Main Scope of the Role
The primary focus of the role is to support the Scheme Administrator and the ADE Director of Business Development in the growth of membership in both the existing Flex Assure Compliance Scheme and the new HOMEflex Compliance Scheme, which is expected to launch in Spring/Summer 2024. The duties would also include assisting the Scheme Administrator with the general day to day running and administration of the Flex Assure company. The Sales and Administration Assistant will become familiar with the existing Flex Assure Code of Conduct and the new HOMEflex Code as well as the scheme’s governance processes and related materials (including the scheme byelaws and company bye-laws). They will also develop an understanding of the energy flexibility market and policy landscape.
Responsibilities
The Sales and Administration Assistant will work under the supervision and instruction of the Scheme Administrator to:
Scheme Promotion and Business Development
• Respond to general email and telephone enquiries about the scheme from stakeholders.
• Support the development of media copy, personal briefings, conference presentations.
• Work in collaboration with the ADE’s IT consultant to maintain the scheme website.
• Work with the Scheme Administrator to ensure a maximum utilisation of the scheme’s social media channels.
• Assist in the promotion of the scheme amongst industry, stakeholders, and Government.
• Develop marketing and promotional materials.
• Carry out research and analysis of industry stakeholders and potential scheme members.
• Develop membership leads and arrange meetings and calls to promote the schemes objectives and recruit new members.
Scheme Member Relations, Retention & Recruitment
• Provide effective communications to scheme members, including briefings, advice, and response to enquiries.
• Support the Scheme Administrator in the retention of existing scheme members and the recruitment of new members.
• Complete the onboarding of new members and exit formalities for resigning members.
• Support the Scheme Administrator in the promotion of the scheme benefits to the wider industry at conferences, exhibitions, and industry events. Including the generation of presentation materials and speaking at industry events.
Finance and Administration
• Work with the Scheme Administrator and ADE Office Manager to generate scheme member invoices in a timely manner, ensure all costs and expenses are tracked accurately, develop basic cashflow models, ensure outstanding membership debts are chased on a regular basis and debts are minimised.
• Develop and maintain statistics on scheme members and eligible customers for reporting to the company’s board of directors.
• Provide input to board reports and develop summaries of scheme progress for presentation at board meetings.
Complaints Management
• Ensure a system for collecting, filing, responding to and managing complaints from eligible customers is effective and accurately maintained.
• Be the principal point of contact for eligible customers making complaints and third parties filing infringement notifications. • Ensuring complaints filed by eligible customers are reviewed with the Scheme Administrator, passed for review to the scheme committee and panels in a timely manner, as set out in the scheme byelaws.
Personal Development
• Work with the Scheme Administrator to develop challenging annual objectives and development plan, including the recording of personal progress toward targets and objectives.
• Preparing for and complete quarterly reviews against objectives with the Scheme Administrator.
• Developing initiatives that ensure the schemes activities are carried out in the most efficient, cost effective and sustainable manner.
• Ensure consideration of the wider social impact of the scheme’s activities. • Contribute to a process of continuous improvement through periodic reviews of significant projects, tasks and campaigns
